7.2 Adding/Editing/Deleting Presets

Access the Edit Vendor window by first choosing Vendors under the Payables menu (or use the keyboard shortcut <cmd-H>) and then double-clicking on the vendor name. Then, to access the Add Preset dialog window, either choose Add Preset under the Vendor menu or use the keyboard shortcut <cmd-A>.

Complete the New Preset Transaction dialog window as follows:

a) SC

Source Code - Used in GL to determine source of entry.

b) Due Period

Enter the period number of the first period you want to make the preset payment.

c) Ref

Enter invoice/purchase order information as desired.

d) Desc

Enter transaction description or use the default description if applicable. The default transaction description is based upon the Tx Desc entered in the Vendor dialog window.

e) Dr GL No.

Enter GL account number of account to be debited. The default GL account number is based upon the GL account number entered in the Vendor dialog window. This account number is used in posting from the payables to the General Ledger.

f) Cr GL No.

Enter GL account number of account to be credited. The default GL account number is based upon the Payables GL account number entered in the Company Parameters dialog window. This account number is used in posting from the payables to the General Ledger.

g) Amount

Enter preset payment amount. If the amount is an even dollar value, it is not necessary to enter the decimal and trailing zeros.

h) Pay every __ period(s)

Enter payment frequency.

i) US Funds

Toggle on if the Vendor is to be paid in US Funds.

In order to edit a value in any field in the New Preset Transaction dialog window, either <Tab> to or click on the appropriate field and make the desired changes. Once all preset information has been entered to your satisfaction, select 'OK' to save the new preset transaction.

If you wish to add additional presets, repeat the steps above. Once all presets have been added, select 'Cancel' to return to the Edit Vendor window.

To edit a preset transaction, access the Edit Preset Transaction dialog window by double clicking on the preset transaction in the lower portion of the Edit Vendor window.

Either <Tab> to or click on the field you wish to edit. Once the transaction has been edited to your satisfaction, select 'OK'. The Edit Preset window will close and you will be returned to the Edit Vendor window. Select 'OK' in the Edit Vendor window to return to the Vendors window.

To delete a preset transaction click on the 'Delete' button in the Edit Preset window.

You will be prompted to confirm that the selected preset transaction is to be deleted. Click on the 'Delete' button to delete the preset. If you do not wish to delete the preset, click on the 'Cancel' button. The Edit Preset window will close and you will be returned to the Edit Vendor window. Select 'OK' in the Edit Vendor window to return to the Vendors window.

To exit from the vendors window, click in the upper left hand corner of the window or use the keyboard shortcut <cmd-W>.
